Conditions for HospitalityInside Events
1. SUBJECT
HospitalityInside GmbH – hereinafter called “HospitalityInside”– is an information provider focused on the hospitality industry. Except publications HospitalityInside offers events like seminars, workshop, conferences and networking opportunities. If an event is aimed at a specific target group, or if particular advance knowledge is required for attendance, we will make this clear in the corresponding announcement.
2. CONTRACTUAL PARTNER
Events can be carried out whether by HospitalityInside or one of its subsidiaries.
3. APPLICATIONS
An application in writing is required to attend any of the events of the HOSPITALITYINSIDE. Applications may be submitted by email or online via the HOSPITALITYINSIDE websites (www.hospitalityInside.com or www.hitt.world), regular mail, or fax using our application form. Any application has to be confirmed by HOSPITALITYINSIDE.
4. PAYMENT OF FEES
Together with the confirmation of booking, applicants will receive an invoice for the event fee. The fee is due at least eight weeks before the beginning of the event. For applications at short notice, less than eight weeks before the event begins, the fee will be due in full immediately after billing. The event fee may be paid as follows:

- Participants from outside the Single Euro Payment Area (SEPA) may transfer the event fee to HOSPITALITYINSIDE free of charge. With every payment, please make sure to indicate customer and invoice number.
5. FEE DISCOUNTS
Personal subscribers of hospitalityInside.com online magazine may benefit from a reduced fee for HOSPITALITYINSIDE events (personal participation). Amount, procedures and availability of such subsidies are described in the corresponding event descriptions.

7. CANCELLATION TERMS
7.1 Withdrawal Rights
Applicants are entitled to withdraw from their application within fourteen days from the date of the Agreement without giving a reason. To exercise your right to withdraw you must notify us (e.g. by letter, fax, or e-mail) at the address indicated below, clearly stating your decision to withdraw from the Agreement. To meet the withdrawal deadline, your notification of withdrawal needs only to be sent off before the end of the deadline. Contact address:

7.2 Consequences of Withdrawal
If you withdraw your application, we are bound to refund any payments that we have received from you promptly and at the latest within fourteen days after we receive your notification of withdrawal. We will apply the same method to refund your money that you used for the original transaction, unless we have explicitly arranged otherwise with you.
8. NON-ATTENDANCE/CANCELLATION
If attendance is not possible in spite of a binding application, HOSPITALITYINSIDE must be informed in writing without delay.
8.1. As an alternative to cancelling event participation entirely, the applicant is offered the following options as a special service by HOSPITALITYINSIDE:
- Transfer of the booking to another event that is to occur within 13 months of the original event. Any payments that have already been received will be credited towards the participation fee of the later event.
- Nomination of a substitute participant, who will take the original applicant’s place at the event with all the rights and obligations this entails.
8.2. If cancellation of an event booking is unavoidable, up to six weeks before the start of the event only a processing fee of €70 will be due. Later cancellation will incur the following charges:
- Cancellation up to four weeks before 25% of the event fee;
- Cancellation up to two weeks before 50% of the event fee;
- Cancellation up to one week before 75% of the event fee;
- Cancellation within one week/no-show 100% of the event fee.
9. NON-USE OF SERVICES
If a event participant fails to make use of particular event services as a result of early departure, illness, or other causes that are not within the responsibility of HOSPITALITYINSIDE, the participant is not entitled to a refund of any kind.
10. ANNULMENT OF EVENTS
HOSPITALITYINSIDE reserves the right to annul an event if the number of applications is too low or if another compelling reason arises. Event fees that have already been paid will be reimbursed in full. Any further claims for compensation are excluded.
11. EVENT ORGANISATION
HOSPITALITYINSIDE has a free hand in planning the contents, schedules, and processes of its events. Nonetheless, HOSPITALITYINSIDE strives to adhere to the times and contents published in the respective event program. HOSPITALITYINSIDE reserves the right to change the facilitator of the event. If an original speaker is unable to attend, HOSPITALITYINSIDE will engage a substitute speaker. The use of substitute speakers does not constitute grounds for cancellation.
12. LIABILITY/INSURANCE COVERAGE
HOSPITALITYINSIDE does not assume any liability for damages sustained by the event participant in connection with events of HOSPITALITYINSIDE. The present exclusion does not apply where claims issue from in-jury to life, limb, or health due to negligence by HOSPITALITYINSIDE or due to willful or negligent breach of duty by a legal representative or agent of the HOSPITALITYINSIDE. Furthermore, the HOSPITALITYINSIDE is not liable for the loss of items of clothing or other articles on the premises of HOSPITALITYINSIDE. HOSPITALITYINSIDE is not liable for defects that are not recognized despite due care. Events do not include any insurance.
13. DATA PROTECTION
HOSPITALITYINSIDE collects, processes, and uses, in accordance with data protection laws, such data of the participant as are required to fulfil contractual obligations. In connection therewith the HOSPITALITYINSIDE is entitled until further notice to contact the participant in writing or by phone. Where appropriate, HOSPITALITYINSIDE may transmit personal data to the facilitator of an event and to the speakers, as well as to the event participants in the shape of a list of participants. Participants may withdraw their consent to this transmission at any time. For details please read the Privacy Policy on our website.
14. PHOTO AND VIDEO RECORDS/IMAGE RIGHTS
The event participants here by declares that he/she consents to the use of photos taken at our events for the purposes of public relations work by HOSPITALITYINSIDE. By attending an event, participants give their express consent to the publication of photos, film recordings, and video streams of themselves that are created within the framework of the event. Such consent shall also apply to print and social media, videos or DVDs, and the internet. The photographer/videographer and/or the subjects who appear in the material are not entitled to claim any fees; nor can they demand to be mentioned by name if the material is published. If the participant no longer consents to publication in future, he or she may withdraw consent from HOSPITALITYINSIDE in writing at any time.
15. DOCUMENTATION
The event participant here by declares that he/she consents to the use of audio recording of events like panels, discussions or lectures. The audio material will be only used by HOSPITALITYINSDE to ensure a proper documentation and follow-up of an event.
16. SEVERABILITY CLAUSE
If one or more provisions of the present Terms & Conditions should proven to be of no legal force, become wholly or partially invalid or inapplicable for whatever reason, the validity and enforce ability of the remaining provisions shall remain unaffected. The ineffective or unenforceable provisions shall be replaced retroactively by clauses of which the content and intent approach as closely as possible the provision or provisions that have become invalid or unenforceable. Supplementary agreements must be made in writing. Oral subsidiary agreements are not valid.
